Manage recurring billing in Receivables → Subscriptions: list actions, activate / pause / cancel, preview and Bill now, and soft-delete, with the same spreadsheet-style editing patterns as other AR master data.
1. Open the workspace
- Go to Receivables → Subscriptions.
- Use search and filters like other Receivables lists.
- Hover a row for quick actions (archive / delete style flyout, same pattern as Payables).
Master data can also sync from Google Drive sheets under Accounts Receivables (Subscriptions, SubscriptionLines, SubscriptionDiscounts) or from a feeder such as Sequence.
2. Detail strip actions
Open a subscription. On the detail strip you can:
| Action | Effect |
|---|---|
| Activate | Moves draft → active and sets the next billing date from the start date |
| Pause | Skips billing while paused |
| Cancel | Applies notice rules; billing continues until the effective cancel date |
| Preview | Shows the planned invoice without saving |
| Bill now | Creates a draft receivable for the current period |
Generated invoices keep a link to the subscription and enter the AR workflow on the subscription invoice path when your published workflow includes that node (see Subscription invoice workflow).
3. Edit and soft-delete
- Edit fields with the spreadsheet-style controls (same keyboard habits as invoice detail where applicable).
- Soft-delete removes the subscription from the active list and clears matching spreadsheet rows; deleted subscriptions are excluded from billing.
Tips and limitations
- Automated billing runs on a daily schedule; with a subscription invoice workflow node, billing waits for that node’s configured local time.
- Charge types include recurring, one-time, and usage-based lines; discounts can be forever, until contract end, or for a number of periods.
