# Payment advice: Search in CRM and HubSpot import filters

Search payment advices in CRM and configure HubSpot import filters.

**Search in CRM** finds HubSpot emails and threads to import as payment advices. Type phrases and press **Enter** to add **badge filters** (AND search). Full HubSpot phrases (`from:`, `body:`) also work as **import filters** on sync (OR combination). Control incremental import with **Import since** and **sync reset**.

**Who this is for:** AR ops pulling partner payment advices from HubSpot inboxes and admins tuning which emails become payment advices automatically.

## 1. Open Search in CRM

1. From **Receivables → Payment advices**, open **Search in CRM** (toolbar or empty-state link).
2. Enter keywords: partner name, invoice number fragment, subject text.
3. Results show HubSpot hits not yet imported or **Deleted in Cortena** rows with **Re-sync**.

Requires HubSpot connected for payment advice source import.

## 2. Enter-to-badge AND search

1. Type a term and press **Enter**. Cortena adds a **filter badge**.
2. Add more badges to narrow results (**AND**: all badges must match).
3. Remove a badge to widen the search.
4. Select a result → **Import** to create a payment advice document.

For soft-deleted copies, use **Re-sync** instead of duplicate import. See [Payment advice soft-delete](https://help.cortena.ai/guides/advanced/payment-advice-soft-delete).

## 3. HubSpot phrases and scheduled sync

In **Settings → Integrations → HubSpot** (payment advice / email import section):

| Filter type | Behavior |
| --- | --- |
| Full phrases | `from:partner@example.com`, `body:Zahlungsavis`, etc. |
| Sync combine | Multiple phrases match with **OR** on automatic sync |
| **Import since** | Only emails after this date import on sync |
| **Sync reset** | Clears cursor so next sync re-evaluates from **Import since** |

Badges in Search in CRM are for on-demand lookup. Phrase filters drive background sync.

## 4. Email body import

Cortena can create payment advices from **email body** text (not only PDF attachments) when the parser finds tabular payment data.

- Preview shows **document kind** indicating email-body source.
- Low-confidence parses land in **needs review** on the workspace **Preview** tab.

## Tips and limitations

- HubSpot rate limits may slow large **Import since** backfills. Use sync reset intentionally.
- Phrase filters are not badge AND logic. Configure OR lists in Settings for sync.
